Situation Wedding

01Problem

The Knot 2026 Real Weddings Study (10,474 couples married in 2025) reports mean spend $34,200, $292 per guest, catering $80/person, bar/alcohol $2,800, cake $540, photographer $3,000, planner $2,100, band $4,500, DJ $1,800. Couples hire 13 vendors on average. A ++ plate, a 20–22% “service charge” that is house money, tax on that charge, card-processing add-ons, and cake-cutting/corkage turn a $150 menu into a ~$199 check. Comparing Venue A at $140 ++ to Venue B at $165 “inclusive of service” without converting both is how the more expensive room wins.

02Intake

  • Every quote/proposal/BEO: venue, caterer, bar, cake, photo, video, florist, DJ/band, planner, rentals, lighting, transport, officiant
  • Guest count N (RSVP floor and F&B-minimum implied headcount)
  • For each vendor: fee structure (flat, per person, per hour, ++), deposit %, balance due date, card vs check price
  • Service-charge % and whether it is mandatory; % paid to staff; additional gratuity expected
  • Sales-tax rate and whether tax hits the service charge (state rule)
  • Cake-cutting, corkage, overtime, security, vendor meals, coat check, valet, parking, required insurance
  • Whether bar sales count toward the F&B minimum
  • Peak vs Friday/Sunday/off-peak grid for the same room

03Playbook

  1. 01

Build one grid, same N, for every venue and caterer. Columns: site fee, F&B min, menu_pp, bar_pp, SC %, tax %, tax-on-SC (Y/N), mandatory add-ons, all-in, all-in per guest. Refuse to hold a date until the all-in column is filled.

  2. 02

    Set N correctly. N = max(realistic RSVP, F&B_min / per-person ++ rate). Knot mean guests = 117. A $20,000 minimum at $140 ++ is a 143-person wedding. Budget that headcount.

  3. 03

Apply the plus-plus formula. If tax hits the service charge (NY, CA mandatory SC, FL service charges, majority pattern): all-in = quoted × (1+SC) × (1+tax). If tax hits food only: quoted × (1+SC+tax). Never add SC and tax as if they were both on the food only when the state taxes SC.

  4. 04

Classify the service charge under the IRS four-factor test (Rev. Rul. 2012-18 / FS-2015-8): free from compulsion; customer sets the amount including zero; not dictated by employer policy; customer chooses who receives it. Fail any factor → house service charge, not a tip. Budget a separate 15–20% cash/credit tip unless the contract says 100% of the charge is paid to the people in the room.

  5. 05

Apply the state tax overlay. New York (TB-ST-320, updated 16 Oct 2026): a “service charge” is always taxable. A separately stated gratuity is untaxed only if labeled gratuity, separately stated, and 100% paid to employees. If the house keeps any of a “23% gratuity,” the entire 23% is taxable (TSB-M-09(13)S). NYC combined 8.875%. California (CDTFA Reg. 1603(h), on/after 1 Jan 2015): optional tip not taxed; mandatory SC is in taxable gross receipts even if later paid to employees. Texas (34 TAC 3.337): mandatory gratuity ≤20%, separately stated, identified as tip/gratuity/service fee/charge, and disbursed to qualified employees, is excluded; above 20% the entire amount is taxable. Florida: service charges, minimum charges, corkage, and setup fees are taxable; a separately stated gratuity the business keeps none of can be excluded. DE, NH, OR, MT: no general state sales tax; still ask (NH rooms-and-meals is a different tax).

  6. 06

Add drip fees. Industry-typical (not official): cake-cutting $1–$5/guest; corkage $10–$40/750 ml; overtime $400–$2,000/hour; security $65–$125/officer-hour; vendor meals at the menu ++ rate; required event insurance $119–$400 for $1M/$2M. Card processing ~3.4% when the vendor does not absorb it (community-reported; ask).

  7. 07

Convert every vendor to the same all-in. Photographer $3,000 mean is usually a flat fee plus overtime; it is not ++. Florist, DJ, and planner often take 25–50% at booking. A 50% nonrefundable retainer on a $12,900 venue is $6,450 locked 12–18 months out.

  8. 08

Do not mix Knot spend with Zola plans. Zola 2026 First Look (11,500+ couples marrying in 2026) planned average $36,000 and a venue index $8,573 — planning intent, not 2025 actuals. Knot 2025-wedding venue mean is $12,900.

  9. 09

    Peak vs off-peak. Knot 2026: Jul–Sep mean $35,400; Jan–Mar and Oct–Dec $33,200; Apr–Jun $34,300. Ask for Sat/Fri/Sun × peak/off-peak. F&B minimums often move more than the site fee.

  10. 10

    Inclusive vs ++ trap. Venue B at $165 “inclusive of service” vs Venue A at $140 ++ with 22% SC and 8.875% tax: A all-in = $140 × 1.22 × 1.08875 = $185.95. B wins on paper only if B’s “inclusive” really includes tax.

  11. 11

Alcohol math. Knot mean bar $2,800. Industry rule of thumb (not official): ~1 drink/adult/hour; 5-hour reception, 100 adults ≈ 500 drinks. Confirm whether bar counts toward the minimum.

  12. 12

Cake. Knot mean $540. If the venue charges cake-cutting on an outside cake, display plus kitchen sheet cake is often cheaper than $5 × 117 = $585 cutting on a $540 cake.

  13. 13

Decision: pick the lowest all-in at the same N that still clears the F&B minimum, with SC destination in writing and tax-on-SC applied. Walk from any quote that will not fill the grid.

04Checklists

Wedding all-in quote calculator

  • Same-N grid filled for every venue/caterer
  • N = max(RSVP floor, F&B-min implied headcount)
  • ++ converted with the correct tax-on-SC rule for the state
  • SC classified as tip vs house revenue (IRS four-factor)
  • Extra gratuity budgeted if SC is house money
  • Cake-cutting, corkage, overtime, security, vendor meals added
  • Card-processing delta vs check/ACH priced
  • Peak vs Friday/Sunday/off-peak compared on all-in, not site fee
  • Inclusive quote confirmed to include tax, not only SC
  • Bar counted or excluded from F&B min in writing
  • Deposits summed across 13 vendors; card used for retainers
  • Knot/Zola figures not mixed
  • BEO matches the quote on ++ rates and SC legend
  • Overset (3–5%) and missed-deadline-equals-last-estimate rules read
  • All-in per guest vs Knot $292 benchmark recorded

05Questions to ask

  1. Q01

“Is this price ++, +++ (SC + tax + extra gratuity), or inclusive of service and tax? Show the all-in for [N] guests.”

  2. Q02

“Does sales tax apply to the service charge? Quote the rate and the tax base.”

  3. Q03

“What percentage of the service charge is paid to staff working the event, and is additional gratuity expected?”

  4. Q04

“Do bar sales, cake, and corkage count toward the F&B minimum?”

  5. Q05

“List cake-cutting, corkage, overtime, security, vendor meals, coat check, valet, and any ‘water’ or facilities fee, each with the unit price.”

  6. Q06

“Do you add a card-processing fee, and can we pay ACH/check at a lower price?”

  7. Q07

“Give Friday, Sunday, and off-peak Saturday all-in for the same guest count.”

  8. Q08

“What is the guaranteed-count deadline, and are we billed guarantee or actual, whichever is greater?”

  9. Q09

“Are vendor meals charged at the ++ menu rate, and how many are required?”

  10. Q10

“Is the required event-insurance premium in this quote or extra?”

06Red flags

  • Quote will not produce a single all-in number

  • “Service charge” plus an expected 18% tip, with no % to staff in writing

  • Tax applied to SC in NY/CA without being shown on the proposal

  • Card fee stacked on top of a 22% SC

  • Water / facilities / “administrative” fees that appear only on the BEO

  • Inclusive price that quietly excludes tax

  • F&B minimum that ignores the guest list you actually invited

  • Guarantee that only ratchets up; missed BEO deadline locks the last estimate

  • Mixing a Zola planning index with a Knot spend figure to “prove” a venue is cheap

  • Vendor who takes 100% by Venmo friends-and-family (no chargeback)

Grid request (email to each venue)

Please complete this grid for [DATE] at 90, 117, and 150 guests: site/room fee; F&B minimum and what counts; per-person food; per-person bar; service-charge %; whether the SC is paid to staff; sales-tax rate; whether tax applies to the SC; cake-cutting; corkage per 750 ml; overtime per hour; security per hour; vendor-meal price; card-processing fee. Return one all-in total per guest count. We will compare venues only on that all-in.

Tax-on-SC (NY example)

New York TB-ST-320 taxes a banquet service charge. A separately stated gratuity is untaxed only if it is labeled gratuity and 100% is paid to employees. If any of the [X]% is retained by the house, the entire [X]% is taxable (TSB-M-09(13)S). NYC combined rate is 8.875%. Please restate our proposal as: food/bar subtotal, SC, tax on (food+SC), all-in. If you intend the [X]% as a true gratuity, say so in 12-point type per 12 NYCRR §146-2.19 and confirm 100% is paid to service employees.

Card-fee (email)

Your checkout adds a processing fee. Quote the check/ACH price and the card price for the same package. If the difference exceeds your processor’s posted rate, remove the markup or we will pay by ACH.

Inclusive vs ++ challenge

Venue A quoted $[A]/person ++. Venue B quoted $[B]/person “inclusive of service.” Using [SC]% and [tax]% with tax on the service charge, A’s all-in is $[A×(1+SC)×(1+tax)]/person. Confirm B’s inclusive price includes tax. If it does not, send B’s true all-in so we are comparing the same number.

Turns a '++' quote into the real total: subtotal = F&B × (1 + SC); tax = on subtotal (tax on SC) or on F&B only; + site, cake cutting × guests, corkage, overtime, security; card surcharge on the total; per guest vs The Knot's $292.
same_n_venue_comparatorSame-N venue comparator
Compares venue quotes at the same guest count and at each venue's F&B-minimum headcount, ranks by all-in, and flags 'inclusive' quotes that show no tax.
service_charge_vs_gratuity_checkerService-charge vs gratuity checker
Classifies a venue 'service charge' under the IRS four-factor test (Rev. Rul. 2012-18): any mandatory, venue-set charge is house revenue, not a tip. Adds New York's 12-point presumed-gratuity rule (12 NYCRR § 146-2.19) and Texas's 20% mandatory-gratuity tax line; tells you whether to budget a separate tip.

09Formulas & rules

  • Tax on SC (majority / NY / CA mandatory). all_in = quoted × (1 + sc) × (1 + tax). Worked NYC: $15,000 F&B, 22% SC, 8.875% tax: $15,000 × 1.22 = $18,300; × 1.08875 = $19,929. At 117 guests: $170.33/person on a $128.21 plate.
  • Tax on food only. all_in = quoted × (1 + sc + tax). $15,000, 22% SC, 8% food tax: $15,000 × 1.30 = $19,500.
  • Per-person ++ to all-in (NYC 22% / 8.875%). $150 × 1.22 × 1.08875 = $199.24. $100 → $132.83; $125 → $166.03; $200 → $265.66.
  • Implied headcount. N_min = F&B_min / (menu_pp + bar_pp). $20,000 / $140 = 142.9 → 143 guests.
  • Cake-cutting vs bakery. Knot cake $540; cutting $5 × 117 = $585. Cutting exceeds the cake. Negotiate a waive if the F&B min is met, or use display + sheet cake.
  • Card fee. 3.4% on a $19,929 all-in = $677.59. Ask for ACH.
  • Deposit lock. 50% of Knot mean venue $12,900 = $6,450 at signing.
  • NY 12-point rule. 12 NYCRR §146-2.19: administrative charge must be identified on contract, menu, and bill, ordinary language, ≥12-point, not a gratuity, will not be distributed; combo charges split into percentages.
  • TX 20% cap for untaxed mandatory gratuity. 34 TAC 3.337. A 22% “gratuity” in Texas is fully taxable unless restructured to ≤20% separately stated and paid out.

10State variation

  • NY TB-ST-320 updated 16 Oct 2026. Old bookmark .../gratuities_and_service_charges.htm 404s. Rule unchanged in substance: SC taxable; true separately stated 100%-to-staff gratuity is not.
  • CA CDTFA 1603(h) since 1 Jan 2015: mandatory SC taxable even if paid to employees. Labor Code §351 / O’Grady (2019) can still force a charge that looks like a tip to staff.
  • TX 34 TAC 3.337 20% threshold remains the sales-tax line, not a cap on what a venue may charge.
  • MA 940 CMR 38.00 effective 2 Sep 2025: large-party mandatory SC allowed if clearly disclosed and 100% remitted to wait staff.
  • FTC 16 C.F.R. Part 464 (effective 12 May 2025) is tickets and short-term lodging. It does not force a wedding venue to advertise an all-in banquet price. Use contract math, not that rule.
  • Knot 2026 study published 18 Feb 2026 (2025 weddings); consumer cost page updated 29 Sep 2026. Venue page updated 6 May 2026.

11Community tactics

  • Ask whether any of the service charge goes to staff, and whether it is taxed (@quoteconcierge, median 20% across 54 quotes) — Partly — the question is the right one (IRS four-factor; NY/CA/TX tax rules). The “median 20% / 54 quotes” is a vendor Instagram observation, not an official series; use 18–25% as the planning range.
  • Ask about card processing (~3.4%); some vendors absorb it (@kdhuntphotographyllc) — Partly — card fees exist; 3.4% is community-reported, not a regulated cap. Ask for the ACH price.
  • Favor venues with transparent pricing over “a water fee, a this fee, a that fee” (@thevendortablepod) — Verified as a comparison method — drip fees are real; put them in the grid.
  • “Read your contracts for hidden fees” (@weddingtips) — Verified as advice, empty as a tactic until the grid is filled.
  • Find vendors on Instagram because it beat Google for affordability (r/Weddingsunder10k) — Unverified as a price law; keep as a search channel, not a discount rule.

12Fact-check notes

  • CFPB / FMCSA / PA Insurance / NBC / ProPublica: none cited in r2 §22.
  • Knot pages work and support the 2025-wedding means listed above. Zola $8,573 venue index is a different measurement — do not splice.
  • National median $24,000: not on Knot consumer pages — dropped.
  • NY tax bulletin URL in older notes 404s; live TB-ST-320 supports the SC-taxable / gratuity-untaxed-if-100%-to-staff rule.
  • IRS FS-2015-8 works and supports the four-factor test.
  • Quoteconcierge 20% median: vendor reel, labeled community-reported.
  • Cake-cutting $1–$5 and corkage $10–$40: industry-typical, not official.
